Hi.
The ant is near, and I guess you'll be writing invoices soon. From now on, please make sure to state the project account/reference number
8025
on your invoices. I prepared content for a page to be on association.typo3.org, but that is not yet online. FYI here it is, take with a grain of salt, as some of the stuff obviously does not appear below... :) But at least you already know your "supervisor" (me) and your account number (see above).
-------
Invoicing the TYPO3 Association
===============================
If you have done paid work for the TYPO3 Association or had expenses that are covered, you must write an invoice to the TYPO3 Association so you can get paid.
Here are the most important rules:
* All invoicing must be done monthly, within a month of the month covered to be payable at all.
* Invoices are to be sent to their supervisor (usually the budget responsible) as listed in the table below, it will be forwarded to the cashier for payment upon approval.
* If you use a subject line of "<invoice number>, <project account number>, <your name>" forwarding and finding your email is a lot easier, thank you!
* The mandatory timelog related to the (time-based) invoice must be sent to t3a-internal at lists.association.typo3.org (it's write-only for anyone not in the Steering Committee) with a subject of "FYI: Timetracking Details <Month> <YYYY>" - the subject line glues those together, so please stick to it.
* Invoices for anything not based on timed work must include scans of receipts or similar items to prove expenses.
Some more rules are part of the bugdet application's fine print as well as the terms for contractors.
Visual layout and content requirements
--------------------------------------
You may use any visual design for your invoice, just make sure it contains all needed information. An example invoice can be found below.
Also the design of your timelog doesn't matter, nor does the tool you use to track your time. Just make sure it tells what you did for how long on what day. An example timelog can be found below.
Open Questions
--------------
If you have any questions, do not hesitate to contact your budget responsible or write an email to info at typo3.org.

Karsten
